Fix the single source of truth and a surprising number of the other problems go quiet.
I'm Charles McKay, founder and CEO of Synx. We are a HubSpot Diamond Solutions Partner based in Port Melbourne, Australia. I started Synx in 2011 after building an IT business from the ground up, we have been building on HubSpot since 2014, and this is a short introduction to who we help and how we think.
Who we help
Our home ground is the property space: construction companies, manufacturers, maintenance and field services businesses, and the software companies that serve them. Long sales cycles, data spread across estimating tools, job systems and spreadsheets, and quotes where one wrong number costs real money. We work with B2B teams in other industries too, and increasingly with not-for-profits that run agreements and grants through HubSpot.
What they share is a need for one system that marketing, sales and service all trust. Not a stack of tools held together with exports, but a single customer record, a single set of numbers and a single place to act on them.
How we think about HubSpot
We came from IT, and it shows. We bring advanced technical skill to marketing and sales problems, and we explain it simply, because a system the team does not understand is a system they will route around. HubSpot is the platform we build that single source of truth on: onboarding and migration, demand generation, sales enablement and RevOps, websites on HubSpot CMS, and the custom development and integrations that pull the other systems into line.
Our development and CRM team is the part of Synx that makes the difference on the hard projects. When the brief says the data lives in four places and the documents still have to be right, that is the team that works out how.
Where Portant fits
Documents are the moment a single source of truth either pays off or quietly fails. A recent project for an Australian charity made the case for us. The foundation needed grant agreements prepared and sent quickly and consistently, but some agreements needed a countersignature and some did not, the grant details sat in HubSpot without flowing into the documents, and the finished files had to land in the right Google Drive folder every time.
Using Portant, our team built four agreement workflows inside HubSpot, one for each signature scenario, with the correct countersigner assigned automatically. A custom CRM card on the grant record shows staff when an agreement is ready to send, each recipient gets their own Drive folder created on the fly, and the agreement is generated and sent without anyone leaving HubSpot. As Goran Ilievski, our senior development and CRM team lead, put it: with Portant, the team can create the right agreement at the right time without worrying about file access or formatting. It is a smoother process from start to finish. That system is now a template we adapt for other clients.
