Overview

Generate a priced quote from a HubSpot deal

The price a customer is about to see already exists in HubSpot, on the deal's line items. The quote still gets rebuilt by hand: the contact copied in, each product retyped, the discount worked out on a calculator and a validity date picked from memory.

This template takes that job away. Data merge fills a Google Doc with the contact, company and street address, then the deal's line items (name, description, unit price, quantity, discount and net price) and three totals: price before discount, total discount and total net. The quote is dated at run time and its valid-until date comes from the deal's close date.

It suits teams that send a straightforward quote before anything is signed, with no tax line to localize and a payment section they fill in once. If the quote needs signature blocks or country-specific tax wording, the regional Sales Quote variants cover that, and the whole family ladders up to quotes.

Who is this for

Is this template right for you?

Sales reps and RevOps teams who generate quotes from CRM deals.

  • A quote out while the buyer is still engaged. The document is generated from the deal the moment pricing is agreed, so the quote reaches the customer while the conversation is still warm instead of after an afternoon of formatting.

  • Prices and discounts match the deal. Every product, unit price, quantity and discount comes from the deal's line items, and the totals are formulas over them, so the quote the customer sees cannot disagree with the one in HubSpot.

  • A clean layout you own. The quote lives in a Google Doc your team can restyle and brand, with a line item table, a clear totals block and a payment section, so you keep the editor your team already uses.

Setup

How to set up the quote workflow

  1. 01

Step 1: Connect HubSpot and Google Docs

Open Portant, install the HubSpot app from the Marketplace, and connect the Google Drive account that will hold the quote template and the generated documents.

  2. 02

Step 2: Replace the sample text once

The company name and location in the header and the address block at the bottom are sample text, so replace them with your own. The payment information area is a placeholder to fill in, and the 'quote valid for 30 days' note is fixed text, so edit it if your validity differs. Prices carry a dollar sign in the template, so change the symbol if you quote in another currency.

  3. 03

Step 3: Check the deal mapping

The contact, company and line item tags are already mapped to the HubSpot deal. The quote number is a placeholder rather than a merge field, so replace it with your own numbering or map it to a deal property, and confirm the property names match your portal.

  4. 04

Step 4: Set the trigger and filing

Choose the deal stage or app card button that starts the run, and tell output management where to file the finished quote.

Frequently asked questions

A quote is a priced offer for goods or services that a seller sends before the customer commits. It lists what is being sold, the quantities, the prices and how long those prices stay valid. This template generates one from a HubSpot deal in about a minute.

The prepared-for block uses the contact's first and last name, email, phone and street address, plus the company name. The table uses each line item's name, description, unit price, quantity, unit discount and net price, and the totals use the line items' pre-discount amount and discount. The valid-until date uses the deal's close date, and the quote date comes from the run timestamp.

No. The totals show the price before discount, the total discount and the total net, with no tax row. If you charge tax, add a row to the Google Doc and map it to the line items' tax amount, or use one of the regional Sales Quote variants, which already carry a tax line.

The valid-until date merges from the deal's close date, so it moves when the deal does. The template also has a separate 'quote valid for' block that reads 30 days as fixed text, so keep the two consistent or edit the block to suit.

No. This version is a priced quote with no signature blocks. If you want the customer to sign, the Sales Quote variants for Australia, Canada, the UK and the US include signature blocks for both parties.

Yes. Sales Quote (AU), Sales Quote (CA), Sales Quote (GB) and Sales Quote (US) carry the local tax wording, registration number, date format and bank details for each country, along with terms and signature blocks. This generic template suits quotes where none of that is needed.
