Overview

Generate a business proposal from a HubSpot deal

The proposal is the one document where a typo can cost you the deal. The company name, the contact's job title, the close date and the price already sit on the HubSpot deal, and someone still pastes them into last quarter's file and hopes nothing stale survives.

This template does the pasting. Data merge fills the deal name, the company, the contact and every line item into a Google Doc, the total is calculated from the line items, and the proposal date is stamped when the run happens. eSignatures send the finished proposal to your client for acceptance from the same workflow.

You write the problem, the solution, the phases and the proof points once, in your own words, and they stay put. It suits agencies, consultancies and software teams that sell projects through HubSpot and use US conventions: MM/DD/YYYY dates, dollar amounts and Sales Tax wording. It sits alongside the rest of your proposals.

Who is this for

Is this template right for you?

Sales teams and account executives who send proposals regularly.

  • A proposal ready while the call is fresh. The document is generated from the deal the moment it reaches the right stage, so the prospect has the proposal in their inbox the same day, not after someone finds a free afternoon.

  • The price in the proposal is the price on the deal. Every line item and the total come from HubSpot, and the total is a formula over the net prices, so the number the client signs cannot drift from the number your team forecast.

  • A structure that makes the pitch easy to write. The template walks through the problem, the solution, the phases, the investment, why you and the next steps, so reps fill in a clear structure instead of staring at a blank page.

Setup

How to set up the business proposal workflow

  1. 01

Step 1: Connect HubSpot and Google Docs

Open Portant, install the HubSpot app from the Marketplace, and connect the Google Drive account that will hold the proposal template and the generated documents.

  2. 02

Step 2: Write the fixed sections once

The bracketed placeholders are fixed text: your company name, your name and title, the problem, the solution, the three phases and the proof points. Replace them once with your own words and every proposal carries them. The 50% on acceptance, 50% on completion payment line is also plain text you can edit.

  3. 03

Step 3: Check the deal mapping

The deal name, company name, contact name or email, job title, close date and line item tags are already mapped to the HubSpot deal. Confirm the properties match how your portal names them, and add a row if you want a tax line merged.

  4. 04

Step 4: Set the trigger and signing order

Choose the deal stage or app card button that starts the run, set who signs first under eSignatures, and tell output management where to file the signed PDF.

Frequently asked questions

A business proposal is a document a seller sends a prospect to pitch a solution and its price. It states the prospect's problem, what you will deliver, how the work is phased, what it costs and what happens next. This template generates one from a HubSpot deal and ends with a signature block for acceptance.

The deal's name and close date, the associated company's name, and the contact's full name (or email, when there is no name) and job title. The Investment table uses each line item's name and net price, and the total is a formula over those prices. The proposal date comes from the run timestamp.

No. The total row is labeled Total (excl. Sales Tax) and adds up the line item net prices only. The template has no tax line, so if you need one, add a row to the Google Doc and map it to a deal or line item property.

Yes. The payment line, the three phases and the weeks in the timeline are fixed text in the Google Doc, not merged fields. Edit them once and every proposal carries your version, and the same goes for the Why us and Next steps sections.

Yes. The document ends with an acceptance block for the client and a block for your company. Portant sends it for eSignature, the client's name and job title are filled from the contact record, and the signed PDF saves back on the HubSpot deal.

A quote prices a defined set of items. A proposal makes the case first, with the problem, the approach and the phases, and then the price. If the buyer already knows exactly what they want, a quote workflow is the shorter path.
