Overview

Generate a statement of work from a HubSpot deal

A statement of work is where scope arguments start or get prevented. A vague scope, an untestable deliverable or a missing date, and the project begins with two ideas of what done means. Meanwhile the project name, the customer contact and the fee already sit on the HubSpot deal, and get retyped anyway.

This template handles the retyping so you can spend the time on the scope. Data merge fills the customer, the project name from the deal, the customer contact's name, job title and email, and the total fees from the deal amount. eSignatures send it to both parties from the same workflow.

It is written as a SOW under a Master Service Agreement, so Master Service Agreement (US) is the companion template. It suits agencies, consultancies and software teams that deliver projects for repeat customers, and the whole set ladders up to contracts.

Who is this for

Is this template right for you?

Legal, sales, and operations teams managing recurring agreements.

  • A SOW out while the project is still hot. The document is generated from the deal the moment the project is agreed and goes straight to both parties for signature, so work starts on a signed scope.

  • The fee and the project match the deal. The project name, the contact and the total fees come from HubSpot, so the SOW cannot disagree with the opportunity that sold it.

  • Scope written to prevent disputes. The template asks for an explicit out-of-scope list, testable acceptance criteria and stated assumptions, and says a wrong assumption goes through the change process instead of being absorbed quietly.

Setup

How to set up the statement of work workflow

  1. 01

Step 1: Connect HubSpot and Google Docs

Open Portant, install the HubSpot app from the Marketplace, and connect the Google Drive account that will hold the SOW template and the generated documents.

  2. 02

Step 2: Fill the fixed sections once

Your company name, the MSA date, the provider contact, the background, the workstreams, the out-of-scope list, the deliverables table, the timeline, the fee model and the assumptions are all bracketed placeholders. The SOW number reads SOW #001 as fixed text, so change it per project. Write each section once, or edit it per project before sending.

  3. 03

Step 3: Check the deal mapping

The company name, deal name, contact first name, last name, job title and email, and the deal amount are already mapped to HubSpot. Confirm the properties match how your portal names them.

  4. 04

Step 4: Set the trigger and signing order

Choose the deal stage or app card button that starts the run, set who signs first under eSignatures, and tell output management where to file the signed PDF.

Frequently asked questions

A statement of work, or SOW, defines a specific project: the goal, the scope, the deliverables and how they are accepted, the timeline, the fees and the assumptions. This template is written as a SOW under a Master Service Agreement and generates from a HubSpot deal.

The customer's company name, the deal's name as the project, the deal amount as the total fees, and the contact's first name, last name, job title and email. The effective date comes from the run timestamp. The provider details, scope and deliverables are fixed text you fill in.

The template is written as a SOW under an MSA and its header refers to an MSA by date, so Master Service Agreement (US) is the companion. If you have no MSA, edit the header and the references to the MSA in the scope and fees sections, since invoices and changes are handled through it.

Total fees are filled from the deal amount, followed by a bracketed choice between a fixed price and time and materials with a day rate and a cap. Payment is split 50% on signing and 50% on acceptance of the final deliverable, plus Sales Tax and pre-approved expenses at cost.

The customer has 10 business days from delivery to accept each deliverable or describe specific deficiencies in writing. A deliverable not rejected within that window counts as accepted, as does use in production.

Yes. The regional variants are Statement of Work (GB), Statement of Work (AU) and Statement of Work (CA). Pick the one that matches where you operate. This one is the US version, with dollar amounts, Sales Tax wording and MM/DD/YYYY dates.
