Overview

Generate a long-form sales contract from a HubSpot deal

A full sales contract names the buyer again and again. The company and address open the document, the contact repeats in the notices block and in Exhibit C, and the signature table asks for the same name, title, email and phone once more. Each of those is retyped from the HubSpot deal, and one of them is easy to miss.

This template takes that job away. Data merge pulls the buyer company, the contact, the address and the website from the deal into every place the contract needs them, in a Google Doc that includes recitals, definitions, warranties, confidentiality, indemnification and three exhibits. The deal name is referenced in the opening paragraph, and eSignatures go to the seller and the buyer from the same workflow.

It suits suppliers and manufacturers that sell on negotiated terms and want those terms in the contract itself, not in an order form. Shorter regional versions exist for Australia, Canada, the UK and the US, and the whole family ladders up to contracts.

Who is this for

Is this template right for you?

Legal, sales, and operations teams managing recurring agreements.

  • One buyer record, every section. The same HubSpot company and contact feed the party block, the notices, Exhibit C and the signature table, so the contract cannot name the buyer one way on page one and another way in the exhibits.

  • The long form is already written. Recitals, definitions, acceptance, warranties, intellectual property, confidentiality, indemnification, termination and the exhibits are in the template, so the rep fills a deal, not a blank page.

  • A signed contract filed on the deal. The document goes from the deal to both parties for signature and the executed copy returns to the same HubSpot record, so nobody searches an inbox for the final version.

Setup

How to set up the sales contract workflow

  1. 01

Step 1: Connect HubSpot and Google Docs

Open Portant, install the HubSpot app from the Marketplace, and connect the Google Drive account that will hold the sales contract template and the generated documents.

  2. 02

Step 2: Fill the seller and commercial terms once

The seller's legal name, address and contact, the seller notice and Exhibit C details, and the commercial terms are bracketed placeholders in the Google Doc. That includes the warranty period, inspection window, liability cap, arbitration body and the governing state or country. Replace them once and every contract carries them.

  3. 03

Step 3: Check the deal mapping

The buyer tags are already mapped to the HubSpot deal's company and contact, including country, phone and website. Confirm the properties match how your portal names them. The price and payment section is bracketed text rather than a line item table, so add deal properties for the price, payment schedule and delivery details if you want those merged too.

  4. 04

Step 4: Set the trigger and signing order

Choose the deal stage or app card button that starts the run, set who signs first under eSignatures, and tell output management where to file the signed PDF.

Frequently asked questions

A sales contract is an agreement that sets the terms on which a seller sells products or services to a buyer: what is sold, the price and payment schedule, delivery, acceptance, warranties, liability and how disputes are resolved. This template generates a long-form version from a HubSpot deal. It is general information, not legal advice, so have a qualified lawyer review it before use.

The buyer block uses the deal's associated company name and website, and the contact's street address, city, state or region, postal code, country, first and last name, email and phone. The opening paragraph references the deal name, and the signature table and Exhibit C also use the contact's job title. The effective date comes from the run timestamp.

No. The price and payment section is bracketed text: purchase price, unit prices, subtotal, taxes and duties, shipping and handling, and the total are placeholders to fill in. The total is not calculated, so add deal properties for those figures if you want them merged, or choose one of the regional sales contract templates, which fill a line item table and calculate the total.

It includes recitals and definitions, inspection and acceptance testing, warranties, intellectual property, confidentiality, limitation of liability, indemnification, termination, force majeure, notices, insurance and audit rights. Disputes go to negotiation, then mediation, then binding arbitration. Exhibit A holds specifications and schedule, Exhibit B covers maintenance, support and training, and Exhibit C lists the major contacts.

Yes. The signature table has a column for each party. Portant sends the document to both for eSignature in the order you choose, and the signed PDF saves back on the HubSpot deal. The buyer's company, name, title, email, phone and website are filled from HubSpot, and the seller's column holds bracketed placeholders you fill in once.

Yes. Sales Contract (AU), Sales Contract (CA), Sales Contract (GB) and Sales Contract (US) are shorter contracts with the tax wording, currency and governing law set for each country, and they fill a line item table from the deal. Pick the long form when you need the exhibits and the fuller set of clauses.
