Overview
Generate a US payment agreement from a HubSpot deal
A customer agrees on a call to pay what they owe in three installments, and then the promise lives in an email thread. The debtor's company name, address and the amount owed already sit on the HubSpot deal, but someone retypes them into last time's agreement and hopes the total still matches the invoice.
This template turns the call into a signed document. Data merge pulls the debtor's company name and street address and the deal amount into a Google Doc with eleven clauses, from the acknowledgement of the debt to the release, laid out for the US with month-first dates and a California governing law default. eSignatures go to the creditor and the debtor from the same workflow.
It suits finance and operations teams that put overdue invoices on a payment plan and want the terms written down, signed and filed on the deal. The workflow sits under invoices, alongside the invoice and purchase order templates it is usually used with.
Who is this for
Is this template right for you?
Finance teams and freelancers who invoice clients regularly.
-
Agreed terms signed while the conversation is fresh. The document is generated from the deal the moment the plan is agreed and goes straight to both parties, so the terms are on paper before the debtor has time to second-guess them.
-
The amount matches the CRM. The debtor and the total amount owed come from HubSpot, so the agreement names the same figure the deal records. The installments you enter only need to add up to it.
-
Clear terms for a missed payment. The agreement says what happens if an installment is late: written notice, 7 days to catch up, then the remaining balance falls due. It also allows early repayment without penalty.

How to set up the payment agreement workflow
-
01
Step 1: Connect HubSpot and Google Docs
Open Portant, install the HubSpot app from the Marketplace, and connect the Google Drive account that will hold the payment agreement template and the generated documents.
-
02
Step 2: Fill the fixed terms once
The creditor name and address, the bank transfer details and the payment reference are bracketed text in the template. Replace them once, choose interest Option A or Option B and delete the other, and set the governing state and courts, which default to California. The installment table is typed too: due dates start as [MM/DD/YYYY] and amounts as $0.00, so enter the schedule and make the total match the amount owed.
-
03
Step 3: Check the deal mapping
The debtor and amount tags are already mapped to the HubSpot deal's associated company and the deal amount. Confirm your portal stores the street address on the company record, and that the deal amount is the balance the debtor owes.
-
04
Step 4: Set the trigger and signing order
Choose the deal stage or app card button that starts the run, set who signs first under eSignatures, and tell output management where to file the signed PDF.
Frequently asked questions
A payment agreement is a document in which a debtor acknowledges what they owe a creditor and both parties agree how and when it will be paid, usually in installments. It names the parties, states the total, sets the schedule and says what happens if a payment is missed. This template generates one from a HubSpot deal in about a minute.
No. The first clause states that the agreement restructures when the debt is paid and does not reduce it. If you are settling for less, that needs different wording.
The debtor line uses the deal's associated company name and street address, and the total amount owed uses the deal amount. The agreement date comes from the run timestamp. The creditor details and the installment schedule are typed into the template.
If an installment is more than 7 days late, the creditor may send a written notice giving 7 days to catch up. If the debtor does not, the entire remaining balance becomes due and the debtor is liable for reasonable collection costs, including legal fees, to the extent the law allows. Accepting one late payment does not waive the creditor's rights for later ones.
That is your choice. The interest clause has two options: interest at a yearly rate you set, calculated daily, or no interest while the debtor keeps to the plan. Keep one and delete the other before you send it.
Yes. The signature section has a block for the creditor and one for the debtor, and the agreement states that electronic signatures count. Portant sends the document to both for eSignature in the order you choose, and the signed PDF saves back on the HubSpot deal.
