Overview

Generate a formal discovery call deck from HubSpot

A discovery call deck is something a rep needs just before a first conversation, and it usually starts as a copy of the last one. The company, the person on the call and the deal are already in HubSpot, yet the cover still gets retyped and the old prospect's name survives on a later slide.

This template builds the deck from the record. Data merge fills the cover with the contact and the company, names the company on the Patterns slide, and stamps the date at run time. The agenda, the questions and the pilot plan are fixed text, with a few bracketed placeholders you fill once. Output management files the finished deck. This Formal version has no logo slots to maintain, and it leaves the CRM in the pilot plan as a bracketed placeholder.

It suits sales reps and founders who run a lot of first calls and want the same structure every time. Discovery Call Deck (Bold) and Discovery Call Deck (Elegant) carry the same slides in a different look, and the whole family ladders up to proposals.

Who is this for

Is this template right for you?

Sales teams and account executives who send proposals regularly.

  • A deck ready before the call. The deck is generated from the HubSpot record when the deal reaches the stage that starts the run, so the rep spends prep time on the buyer instead of on find and replace.

  • The same discovery structure for every rep. Agenda, patterns, questions, next steps and pilot plan appear in the same order each time, so calls are comparable and a new rep follows a proven shape.

  • A structured call in a formal format. With no logo slots and a titled Pilot Plan ('a three-week pilot to prove the numbers'), the deck reads as a structured agenda a buyer can forward to colleagues.

Setup

How to set up the formal discovery call workflow

  1. 01

Step 1: Connect HubSpot and Google Slides

Open Portant, install the HubSpot app from the Marketplace, and connect the Google Drive account that will hold the deck template and the generated presentations.

  2. 02

Step 2: Set the fixed text once

Much of the deck is fixed text, not merged. Replace the bracketed Your Name on the cover and the email, phone and website on the closing slide, and write your one or two sentences on the Who We Are slide. Fill the bracketed CRM and number of templates in the pilot plan, and replace the two sample statistics on the Patterns slide with figures you can support. There is no logo placeholder to set.

  3. 03

Step 3: Check the field mapping

The tags are mapped to the HubSpot contact's first and last name and the company's name. Confirm they match how your portal names them, and check which record the run reads the contact from.

  4. 04

Step 4: Set the trigger and filing

Choose the deal stage, app card button or workflow action that starts the run, and tell output management where to file the finished deck.

Frequently asked questions

A discovery call deck is a short presentation that structures the first real conversation with a prospect: an agenda, a short introduction of who you are, the problems you usually see, the questions you want to explore and what happens next. This template builds one in Google Slides from a HubSpot record.

It uses the contact's first and last name and the company's name. The date comes from the run timestamp. The agenda, the questions and the next steps are fixed text, and the presenter and contact details are bracketed placeholders you fill in.

The Formal version has a cover, today's agenda (three parts with minutes), who we are, patterns, questions we will explore (metrics, decision process, timing), next steps, pilot plan and a thank you slide with contact details.

Yes. Write your own line on the Who We Are slide and set your contact details. The two statistics on the Patterns slide, the number of templates in the pilot plan and the agenda timings are sample text, so replace them with figures and timings that match how you run the call.

Formal has no logo or wordmark to replace and leaves the CRM bracketed in the pilot plan. Discovery Call Deck (Bold) uses capitals and LOGO slots with the economic buyer, and Discovery Call Deck (Elegant) adds a sample wordmark and merges the contact's CRM.

Yes. The template is an ordinary Google Slides file, so you can edit the wording, reorder slides or add your own. Portant only fills the tags, so keep those in place if you want them merged from HubSpot.
