Overview
Generate a formal case study deck from HubSpot data
A case study earns its place during evaluation, when a prospect wants proof that someone like them got a result. The story usually lives in a PDF or an old deck, and a rep rebuilds it by hand: new company name, new contact, the quote attribution checked against the CRM.
This template does that rebuilding for you. Data merge fills the overview (company name, industry and employee count) and the attribution line under each customer quote from HubSpot, and stamps the date at run time. The Before, After and What the Numbers Became slides are fixed text with bracketed placeholders for your own metrics. Output management files the finished deck. This Formal version has no logo slots to maintain, and it leaves the story's customer name as a bracketed title you type.
It suits sales teams that run evaluations and want one story deck per account instead of one per quarter. Case Study Deck (Bold) and Case Study Deck (Elegant) carry the same slides in a different look, and the whole family ladders up to proposals.
Who is this for
Is this template right for you?
Sales teams and account executives who send proposals regularly.
-
A tailored story without the rebuild. The account fields and quote attributions are filled from HubSpot, so the rep spends their time on the story and the numbers instead of find and replace.
-
Proof that stays in the same shape. Every case study follows Overview, Before and After, What the Numbers Became, In Their Words and the close, so prospects meet the same structure each time.
-
A story in a formal format. With no logo slots and a bracketed customer name in the title, the deck reads as a reference document you can send ahead of a call.
Setup
How to set up the formal case study workflow
-
01
Step 1: Connect HubSpot and Google Slides
Open Portant, install the HubSpot app from the Marketplace, and connect the Google Drive account that will hold the deck template and the generated presentations.
-
02
Step 2: Set the fixed text once
Much of the deck is fixed text, not merged. Replace the bracketed Customer Name in the title, the bracketed Audience and Your Name on the cover and the contact details on the last slide. The bracketed story (what the customer sells, the before and after, the metrics and both quotes) is yours to write, and there is no logo placeholder to set.
-
03
Step 3: Check the field mapping
The tags are mapped to the HubSpot company's name, industry and number of employees, and the contact's full name or email and job title. Confirm they match how your portal names them, and check which record the run reads the contact from.
-
04
Step 4: Set the trigger and filing
Choose the deal stage, app card button or workflow action that starts the run, and tell output management where to file the finished deck.
Frequently asked questions
A case study deck is a short presentation that tells a customer success story: who the client is, what was broken, what changed and what the numbers became. Sales teams use it during evaluation to show a prospect a result they can picture. This template builds one in Google Slides from HubSpot data.
It uses the company's name, industry and number of employees, and the contact's full name or email and job title. The date comes from the run timestamp. The story, the metrics and the presenter details are fixed text or bracketed placeholders you fill in.
The title is a bracketed Customer Name you type, while the prepared-for line, the overview and the reference-call line merge the company on the HubSpot record. If the story belongs to another customer, retype those spots or point the tags at a different record.
Yes. The before and after copy, the metrics (such as time per document, errors reaching customers and the second-order results) and both customer quotes ship as bracketed samples. Replace them with real figures and wording you can support before presenting.
Formal has no logo or wordmark to replace, takes a bracketed customer name in the title and uses the contact's full name or email in the quote lines. Case Study Deck (Bold) uses capitals and LOGO slots, and Case Study Deck (Elegant) adds a sample wordmark and leaves industry and headcount bracketed.
Yes. The template is an ordinary Google Slides file, so you can edit the wording, reorder slides or add your own. Portant only fills the tags, so keep those in place if you want them merged from HubSpot.
