Overview
Generate a Australian sales receipt from a HubSpot deal
A receipt is the easy document to put off. The money has landed and the deal is closed, the buyer's details and every line item already sit in HubSpot, and yet the receipt gets rebuilt from an old file the day the customer finally asks for it.
This template builds it from the deal. Data merge fills the bill-to block with the contact's full name (or email), street address, city, state or region, postal code and email, and line items fill the table with each item's name, quantity, unit price and net price. The subtotal, GST and total paid are calculated from those line items, and the document states that the total was received in full with no balance due.
It suits teams that take payment on a HubSpot deal and need a clean proof of purchase for the customer, laid out for Australia with a ABN line and day-first dates. Regional siblings cover Canada, the UK and the US, and the family ladders up to invoices, the document you send before payment arrives.
Who is this for
Is this template right for you?
Finance teams and freelancers who invoice clients regularly.
-
A receipt the day the payment lands. The document is generated from the deal as soon as it reaches the paid stage, so the customer has proof of purchase without anyone building it by hand.
-
Names and totals match the deal. Every buyer field and every price comes from HubSpot, and the total paid is a formula over the line items, so the receipt cannot disagree with the deal that recorded the sale.
-
Written for Australian sales. ABN on the seller block, a GST row, day-first dates and a 14 day returns clause are already in the template, so an Australian buyer gets the receipt they expect.

How to set up the sales receipt workflow
-
01
Step 1: Connect HubSpot and Google Docs
Open Portant, install the HubSpot app from the Marketplace, and connect the Google Drive account that will hold the sales receipt template and the generated documents.
-
02
Step 2: Fill the seller block once
The seller details are fixed text in the template: your company name, street address, a City, State, Postcode line, ABN, email and phone. Replace the bracketed placeholders once, along with the link to your return policy. The receipt number, payment method and reference are bracketed too, so type them per receipt or map them to deal properties.
-
03
Step 3: Check the deal mapping
The bill-to and item tags are already mapped to the HubSpot deal's company, contact and line items. Confirm your line items carry a tax amount, since the GST row sums it. One thing to check: the Date paid field is set to DD/MM/YYYY, but the date inside the Payment sentence is set to MM/DD/YYYY, so change it to match.
-
04
Step 4: Set the trigger and filing
Choose a deal stage that means paid, or an app card button, to start the run, and tell output management where to file the receipt so it lands on the deal.
Frequently asked questions
A sales receipt is proof of a payment that has already been made. It names the seller and the buyer, lists what was paid for, shows the subtotal, tax and total paid, and confirms that nothing remains due. This template generates one from a HubSpot deal in about a minute.
A sales receipt confirms a payment that has already been received, while an invoice asks for payment before it is made. If the customer has not paid yet, generate an invoice instead.
The bill-to block uses the contact's full name or email, street address, city, state or region, postal code and email. The table uses each line item's name, quantity, unit price and net price. The subtotal sums the pre-discount amounts, the GST row sums each line item's tax amount, and the date paid comes from the run timestamp.
The receipt has a GST row that sums the tax amount on each line item, so it shows the GST your HubSpot line items already carry. The template does not work out the rate itself, and the total paid is the net prices plus that tax.
No. The receipt states that the total was received in full, and the date paid is the date the workflow runs. Start the run from a deal stage that means paid so the receipt is only issued once the money is in.
Yes. The same workflow ships as Sales Receipt (CA), Sales Receipt (GB) and Sales Receipt (US), each with the tax wording, registration number line, currency symbol and date format adjusted for that country. Pick the one that matches where the seller operates.
