Overview
Generate a US sales quote from a HubSpot deal
A quote is usually the first document a buyer sees, and it is rebuilt for almost every deal. The customer's company, the contact, the products and the agreed prices already sit on the HubSpot deal, and someone retypes them into the last quote, edits the expiry date and hopes the total still adds up.
This template takes that job away. Data merge pulls the customer company, the address and every line item from the deal into a Google Doc laid out for the United States: Tax ID (EIN) on the issuer block, Sales Tax on its own line in the totals, MM/DD/YYYY dates and payment details in the local bank format. eSignatures go to the customer and the seller from the same workflow.
It suits teams that send itemized quotes, with a deposit and payment terms already written in, for goods and services sold through HubSpot. Regional siblings cover Australia, Canada and the UK, and the family ladders up to quotes.
Who is this for
Is this template right for you?
Sales reps and RevOps teams who generate quotes from CRM deals.
-
A quote out while the buyer is still engaged. The document is generated from the deal the moment pricing is agreed and goes straight to the customer for signature, so the quote lands while the conversation is still warm.
-
Prices, discounts and tax match the deal. Every customer field and every price comes from HubSpot, and the totals are formulas over the line items, so the quote the customer signs cannot disagree with the deal your team is working.
-
Written for the United States. Tax ID (EIN), Sales Tax, MM/DD/YYYY dates and ACH / wire routing number fields are already in the template, with terms covering what is included, pricing and validity, payment and timing.
Setup
How to set up the sales quote workflow
-
01
Step 1: Connect HubSpot and Google Docs
Open Portant, install the HubSpot app from the Marketplace, and connect the Google Drive account that will hold the quote template and the generated documents.
-
02
Step 2: Fill the issuer block, bank details and terms once
The issuer details are fixed text in the template: your company name, address, Tax ID (EIN), email and phone, plus the payment details (account holder, account number, ACH / wire routing number, account type and bank) and the prepared-by line. Replace the bracketed and sample values once. The terms section also sets a 50% deposit on acceptance and the balance at net 30 days, and the expiry date carries a fixed '30 days from issue' note, so edit those to match your own terms.
-
03
Step 3: Check the deal mapping
The prepared-for block maps to the contact's address and the contact's name and email, and the table maps to the deal's line items. The quote number is built from the deal record ID, so it needs no setup. Confirm the properties match how your portal names them.
-

Step 4: Set the trigger and signing order
Choose the deal stage or app card button that starts the run, set who signs first under eSignatures, and tell output management where to file the signed PDF.
Frequently asked questions
A sales quote is a priced offer for goods or services that a seller sends before the customer commits. It lists the items, quantities, prices, taxes and the date the prices stay valid, and once accepted it becomes the basis for the order and the invoice. This template generates one from a HubSpot deal in about a minute.
The prepared-for block uses the deal's associated company name and the contact's street address, city, state or region and postal code, first and last name and email. The quote number uses the deal record ID. The table uses each line item's name, quantity, unit price and net price, and the totals use the line items' pre-discount amount, discount and tax amount. The expiry date uses the deal's close date, the signature block adds the contact's job title, and the issue date comes from the run timestamp.
The totals include a Sales Tax line that adds up each line item's tax amount, and the quote total is the sum of the net prices plus that tax. The terms say prices exclude Sales Tax unless stated otherwise, and the template does not state a rate, so the figure follows whatever tax amount is set on the line items in HubSpot.
Yes. The payment details block has fields for account holder, account number, ACH / wire routing number, account type and bank, and the terms set a 50% deposit on acceptance with the balance due net 30 days from invoice. These are fixed text you fill in or edit once in the template, not merged from HubSpot.
Yes. The template has an accepted-by block for the customer and one for the seller, and the terms also let the customer accept by email. Portant sends the document for eSignature in the order you choose, and the signed PDF saves back on the HubSpot deal.
Yes. The same workflow ships as Sales Quote (AU), Sales Quote (CA) and Sales Quote (GB), each with the tax wording, registration number, date format and payment details adjusted for that country. Pick the one that matches where the seller operates.
