Overview
Generate a US sales contract from a HubSpot deal
A sales contract runs about a dozen clauses, and the clauses are not what slows it down. The slow part is the party block: the buyer's company, its address and the signer's name and title, retyped from the HubSpot deal into whichever contract went out last.
This template takes that job away. Data merge pulls the buyer company, the line items and the signing contact from the deal into a Google Doc laid out for the US, with Sales Tax called out in the price clause and a state governing law placeholder set to California. eSignatures go to the seller and the buyer from the same workflow.
It suits teams that sell goods and services through HubSpot and need a signed contract per deal, with payment, delivery, inspection, warranty and dispute terms already written. Regional siblings cover Australia, Canada and the UK, and the whole family ladders up to contracts.
Who is this for
Is this template right for you?
Legal, sales, and operations teams managing recurring agreements.
-
A signed contract when the deal closes. The document is generated from the deal the moment the terms are agreed and goes straight to both parties for signature, so the contract is on paper while the buyer is still engaged.
-
Names and numbers match the CRM. The buyer, the signer and every line item come from HubSpot, so the contract cannot name a different company or quote a different price than the deal that recorded the sale.
-
Written for sales in the US. Sales Tax wording, payment net 30 days, interest on late payments, title that stays with the seller until it is paid, and a governing law placeholder set to California are already written into the template.
Setup
How to set up the sales contract workflow
-
01
Step 1: Connect HubSpot and Google Docs
Open Portant, install the HubSpot app from the Marketplace, and connect the Google Drive account that will hold the sales contract template and the generated documents.
-
02
Step 2: Fill the seller block once
The seller's company name and principal place of business are bracketed placeholders, and so are the delivery address, the delivery date, and the city and method (mediation or arbitration) for dispute resolution. Replace them once, and change [California] in the governing law clause to your state.
-
03
Step 3: Check the deal mapping
The buyer, item and signer tags are already mapped to the HubSpot deal's company, contact and line items. Confirm the properties match how your portal names them, and add the delivery address and delivery date as deal properties if you want those merged rather than typed.
-
04
Step 4: Set the trigger and signing order
Choose the deal stage or app card button that starts the run, set who signs first under eSignatures, and tell output management where to file the signed PDF.
Frequently asked questions
A sales contract is an agreement that sets the terms on which a seller sells goods or services to a buyer: what is sold, the price and payment terms, delivery, title and risk, inspection, warranties, liability and how disputes are handled. This template generates one from a HubSpot deal. It is a starting point, not legal advice, so have a lawyer review it for your situation.
The opening party line uses the deal's associated company name and street address. The items table uses each line item's name, quantity, unit price and net price, and the total also reads each line item's tax amount. The buyer's signature block uses the contact's first and last name and job title, and the contract date comes from the run timestamp.
The total row and the price clause both add each line item's tax amount to its net price, and the clause then says plus Sales Tax where applicable. If your line items carry tax amounts, check that the wording matches how you quote, and reword the clause if the tax is already inside the total. The template does not state a rate.
The dispute resolution clause asks for good-faith discussion between senior managers within 30 days. If that fails, the dispute goes to [mediation / arbitration] in [City] before either party starts court proceedings, except for urgent injunctive relief. Choose the method and the city in the template once.
Yes. The signature section has a block for each party. Portant sends the document to both for eSignature in the order you choose, and the signed PDF saves back on the HubSpot deal. The buyer's name and job title are filled from the contact record, and the seller's name and title lines are left for the signer.
Yes. The same workflow ships as Sales Contract (AU), Sales Contract (CA) and Sales Contract (GB), each with the tax wording, currency and governing law adjusted for that country. Pick the one that matches where the seller operates.
