Overview
Generate an Australian purchase agreement from a HubSpot deal
A purchase agreement is meant to be quick, which is why it gets rebuilt from the last one. The buyer's company name, the contact's address and email, and every line item already sit on the HubSpot deal, and someone pastes them into an old file anyway and hopes the quantities still match.
This template takes that job away. Data merge pulls the buyer and the line items from the deal into a Google Doc laid out for Australia: an ABN line on the seller block, GST called out in the price clause, and New South Wales as the governing law placeholder. eSignatures go to both parties from the same workflow.
It suits teams that sell goods or services through HubSpot and want a signed purchase agreement for each one-time order, with deposit, delivery, inspection and warranty terms already written. Regional siblings cover Canada, the UK and the US, and the whole family ladders up to contracts.
Who is this for
Is this template right for you?
Legal, sales, and operations teams managing recurring agreements.
-
A signed agreement while the order is fresh. The document is generated from the deal the moment the order is agreed and goes straight to both parties for signature, so the terms are on paper before the buyer's attention moves on.
-
Names and numbers match the CRM. Every buyer field and every line item comes from HubSpot, and the total is a formula over the items, so the agreement cannot disagree with the deal that recorded the order.
-
Written for purchases in Australia. ABN, GST and a state governing law placeholder are already in the template, alongside the 10 business day inspection window, 12 month warranty and liability cap at the total price that a buyer expects to see.

How to set up the purchase agreement workflow
-
01
Step 1: Connect HubSpot and Google Docs
Open Portant, install the HubSpot app from the Marketplace, and connect the Google Drive account that will hold the purchase agreement template and the generated documents.
-
02
Step 2: Fill the seller block once
The seller details are fixed text in the template: your company name, street address, city, state and postcode, ABN, email and phone. Replace the bracketed placeholders once and every agreement carries them. The deposit, balance terms, delivery address and delivery date are bracketed too. Change [New South Wales] in the governing law clause to your state, and check that the dispute sentence under it names courts that fit your jurisdiction.
-
03
Step 3: Check the deal mapping
The buyer and item tags are already mapped to the HubSpot deal's company, contact and line items. Confirm the properties match how your portal names them, and add the deposit, delivery address and delivery date as deal properties if you want those merged rather than typed. The date tag uses MM/DD/YYYY, so edit its format string if your buyers expect day first.
-
04
Step 4: Set the trigger and signing order
Choose the deal stage or app card button that starts the run, set who signs first under eSignatures, and tell output management where to file the signed PDF.
Frequently asked questions
A purchase agreement is a contract that sets the terms of a one-time purchase of goods or services: who the buyer and seller are, what is being bought, the price and deposit, delivery, inspection, warranties and what happens if either side cancels. This template generates one from a HubSpot deal. It is a starting point, not legal advice, so have a lawyer review it for your situation.
The company on the HubSpot deal is the buyer, and its contact supplies the attention line and the buyer's signature block. You are the seller, and your details are the bracketed text in the seller block, filled in once in the template.
The buyer block uses the deal's associated company name and the contact's street address, city, state or region, postal code, first and last name and email. The items table uses each line item's name, quantity, unit price and net price, and the total is a formula over the net prices plus each line item's tax amount. The agreement date comes from the run timestamp. The buyer's job title in the signature block comes from the contact.
The price clause states the net total plus GST where applicable, and the total row adds each line item's tax amount to its net price, so a tax amount on the line item shows up in the total. The template does not add a separate GST line or state a rate. If you need an itemized GST line, add it to the Google Doc and map it to a deal property.
Yes. The signature section has a block for each party. Portant sends the document to both for eSignature in the order you choose, and the signed PDF saves back on the HubSpot deal. The buyer's name and job title are filled from the contact record, and the seller's name and title lines are left for the signer.
Yes. The same workflow ships as Purchase Agreement (CA), Purchase Agreement (GB) and Purchase Agreement (US), each with the tax wording, seller registration line, address layout and governing law adjusted for that country. Pick the one that matches where the seller operates.
