Overview
Generate a Canadian packing slip from a HubSpot deal
A packing slip is the page that rides in the box, so it has to be right while someone is taping the carton shut. The company name, the street address and the SKUs already sit on the HubSpot deal, yet someone retypes them into last week's slip and hopes the quantities still match.
This template takes that job away. Data merge pulls the ship-to company and the contact's address and name from the deal, and line items fill the table with each SKU, description and quantity ordered. The page stops at quantities, with no unit prices and no totals, in a Google Doc laid out for Canada with a province and postal code ship-from line and month-first dates.
It suits distributors, wholesalers and any team that ships goods from HubSpot deals and wants the warehouse copy to match the order. Regional siblings cover Australia, the UK and the US, and the whole family ladders up to invoices, the document that carries the prices.
Who is this for
Is this template right for you?
Finance teams and freelancers who invoice clients regularly.
-
The slip is ready when the order is. The document is generated from the deal the moment it is ready to ship, so the packer is not waiting on someone to build it from an old file.
-
What is on the slip matches the order. Every SKU, description and quantity ordered comes from the deal's line items, so the page in the box cannot disagree with the order the customer placed.
-
Written for Canadian shipments. The ship-from line follows the City, Province, Postal Code format and dates run month-first as MM/DD/YYYY, with a Received by block and a notes line asking the recipient to report shortages within 5 days of delivery.

How to set up the packing slip workflow
-
01
Step 1: Connect HubSpot and Google Docs
Open Portant, install the HubSpot app from the Marketplace, and connect the Google Drive account that will hold the packing slip template and the generated documents.
-
02
Step 2: Fill the ship-from block once
The ship-from details are fixed text in the template: your company name, street address, a City, Province, Postal Code line, email and phone. Replace the bracketed placeholders once and every slip carries them. The packing slip number, order or PO number, ship date, carrier, tracking number, package count and weight are bracketed too, so type them per shipment or map them to deal properties.
-
03
Step 3: Check the deal mapping
The ship-to and item tags are already mapped to the HubSpot deal's company, contact and line items. Confirm your portal stores the SKU on each line item. The quantity shipped and back-ordered columns are typed values in the template (1 and 0), so edit them to match what leaves the warehouse.
-

Step 4: Set the trigger and filing
Choose the deal stage or app card button that starts the run, and tell output management where to file the generated slip so it lands on the deal.
Frequently asked questions
A packing slip is a document that travels with a shipment and lists what is in the box. It names the sender and the recipient, identifies each item by SKU and description, and shows quantities ordered, shipped and back-ordered. This template generates one from a HubSpot deal in about a minute.
No. A packing slip lists the contents of a shipment and does not request payment, so prices are left off on purpose. Pair it with an invoice or a sales receipt for the financial details.
The ship-to block uses the deal's associated company name and the contact's street address, city, state or region, postal code, first name and last name. The items table uses each line item's SKU, description and quantity. The date comes from the run timestamp.
No, this template is not sent for eSignature. The Received by block has signature, print name and date lines. The print name is filled from the contact's first and last name, and the signature and date are left for the recipient.
The table has columns for quantity ordered, quantity shipped and quantity back-ordered. Quantity ordered merges from the line item, while shipped and back-ordered are typed values you edit, and the notes line says back-ordered items follow under a separate shipment.
Yes. The same workflow ships as Packing Slip (AU), Packing Slip (GB) and Packing Slip (US), each with the address format and date format adjusted for that country. Pick the one that matches where the shipment leaves from.
