What is a bill of sale?

A bill of sale is a short document that records the transfer of an item from a seller to a buyer. It lists who is selling, who is buying, what is being sold, the price, and the date, so both sides have proof the sale took place. In most cases no, a signed bill of sale is valid without a notary. Some states require notarization for vehicle sales or high-value items, so confirm the rules where the sale takes place before you finalize it.

A receipt is proof that payment was made. A bill of sale goes further: it records the transfer of ownership and describes the item and the terms of the sale. If you only need to confirm payment, use our free receipt generator instead.

A bill of sale is strong evidence that ownership was transferred, but it is not always the only document you need. For vehicles you also transfer the title and update the registration. Keep the signed bill of sale with your records as proof of the transaction.
