
Cutting our document production time in half and tracking it all with Portant
I'm Megan Marohn, and as VP with Boomerang Capital, one of my jobs is finding solutions to challenges that my team faces. Boomerang Capital is a real estate finance company; we provide loans to individuals that fix and flip homes throughout the US. As you would expect, documentation sits at the heart of what we do - loan docs, financial docs, reporting, we've got it all.
When we moved off our old mortgage system, we had to find a solution that could handle the creation of all those documents, and we were keen to have it fully integratable with our CRM tool, HubSpot. Our previous system did some basic docs in-house. But customisation was almost impossible, we struggled with limited access to editing and antiquated editing tools, and integration with HubSpot was cumbersome at best and frustratingly limited. Need a new template or new state loan docs? Submit a ticket to tech support. The answer was always we'll get back to you another day. So I went looking for mail-merge on steroids, was fully customisable, could be expanded easily, and that actually talked to HubSpot. That was a tall order, and my poor loan processing team was struggling during the interim.
The Problem
In our old system we were stuck. Limited access to editing the library of documents we had. Every new template or new state doc meant a ticket and a wait. Delays were real. We had no flexibility. When we ditched the old system, our loan processors were forced to manually make the updates and changes to each set of loan docs, requiring hours of additional administration - totally unacceptable.
And of utmost importance to the management team: we needed something that could handle full HubSpot integration. About 80% of our HubSpot is custom - unique objects, unique properties, thousands of them. We were building out HubSpot to handle all of our loan details, information, relationships, and servicing. Any documents that were created in support of our loans needed to pull their details from HubSpot, the repository of all the data.
The Solution
When we found Portant. It almost seemed too good to be true. We could use the templates we already had in Microsoft Office. Upload them, connect them to HubSpot, and we're done. It was that simple. Field mapping that could handle ALL of our unique objects and properties. And adding new properties was as easy as click-click-click. Nevermind the ease of adding new documents - of all types! The loan processors were thrilled with outputs in multiple formats: Word, Google Docs, or .pdf. And honestly, the best part, it puts the created documents right back on to the object record for you. We need a new set of loan documents for a new loan - Portant creates the docs - and then ads them to the loan object card!!
The other big win: email. Portant records when those emails go out, right there in HubSpot. So we have one place for all our borrower communication. We control it. Not another system.
Why it works
One of my big projects for 2026 is moving about 800 notices - to be sent monthly to our customers - which we currently send from another system, onto HubSpot with Portant. The goal is to generate and send these notices from Hubspot, through Portant, recording everything on each HubSpot customer record. One place.
Without a document automation tool? I don't know what we'd do. Our business is documents. A loan package can be 100+ pages. Something on every one is unique. Doing that by hand was hours. Now when the executive team says we need to send extension notifications and asks for a document that lists the info for this extension, I can have it to them in about an hour. I can pass that off to other people too. Portant has empowered my whole team.
Boomerang Capital does business mostly in 7 states, but we are expanding. We do a little over half a billion in loans a year; 800 plus individual loans. When the legal department hands me a set of new loan docs for a new state we're lending in, I can have them up and running, thanks to Portant, within a few hours and our loan processors can have new loan docs out to a client that day!
